Program Associate (Part-Time)

Position Summary
The Program Associate will support day‑to‑day operations by managing logistics for events and programs, coordinating and supporting volunteers, and supervising the Fellowship program. This role is critical to ensuring smooth, mission‑driven program delivery and strong volunteer engagement.

Position Details
  • Employment Type: Part‑time (approx. 20 hrs/week), Schedule Flexible, with some evenings/weekends for events
  • Location: Bisbee/Naco, AZ
  • Reports To: Executive Director
  • Compensation: $17–20/hr depending on qualifications


Primary Responsibilities
  1. Program & Event Logistics
    ○ Coordinate all logistical aspects of programs, workshops, field visits, and events (venue and speaker booking, supply procurement, onsite setup).
    ○ Create and maintain detailed schedules, agendas, and communication materials as needed in collaboration with the communications team.
    ○ Provide onsite event support, manage technology setups, and coordinate with staff and partners.
  2. Volunteer Coordination
    ○ Recruit, train, schedule, and supervise volunteers for events and regular programs.
    ○ Maintain accurate volunteer records, monitor hours, and implement recognition strategies.
    ○ Act as the primary point of contact for volunteers, offering guidance and support to volunteer teams.
  3. Fellowship Program Supervision
    ○ Manage scheduling and communication with Fellowship applicants and alumni.
    ○ Facilitate Fellows’ integration into programming and ensure alignment with organizational mission.
    ○ Monitor project timelines, collect documentation of Fellowship activities, and prepare brief status reports.
  4. Operational & Administrative Support
    ○ Draft communications to promote programs – content for emails, newsletters, social media posts.
    ○ Maintain databases for events, volunteers, Fellows, and contacts; ensure data integrity.
    ○ Support general office tasks: responding to inquiries, ordering supplies, organizing meetings as needed.
  5. Other Duties as Assigned
    ○ Travel as needed. Most travel will be in the Bisbee area, Cochise County, or Southern Arizona. Travel outside the immediate area will generally be able to be scheduled in advance.
    ○ Attend meetings with staff and various advisory groups.

Qualifications
  • Education & Experience
    ○ Demonstrable experience and/or education to manage projects and work with people of different backgrounds.
  • Skills & Competencies
    ○ Exceptional organizational, multitasking, and time‑management skills.
    ○ Excellent written and verbal communication.
    ○ Comfortable with program/event coordination, database management, and tech tools, including but not limited to facilitating virtual programming
    ○ Experience with volunteer coordination best practices.
    ○ Project Management Software (Such as Monday.com)
    ○ Google Suite/Microsoft Office
    ○ Ability to travel in Southern Arizona as needed
    ○ Familiarity with humanities and social sciences of the borderlands is preferred.
    ○ Bilingual - English/Spanish strongly preferred

 “The Buffalo Soldier Beyond the Call.” This memorable event features keynote speaker Colonel Richard “Dick” Toliver, USAF (Retired), a distinguished Air Force Veteran and author, as well as a presentation by National Buffalo Soldier Historian Dr. John P. Langellier, and the presentation of the SWABS Buffalo Soldier Legacy Award. With live entertainment by Freddie J with jazz, old-school R&B, and great food. The Original Cactus League Baseball on the Border April 26, 10am-Noon Local historian Mike Anderson will be leading a tour of the original Camp Naco baseball field, located at the corner of W. Newell Street and S. Willson Road, and sharing the history of the original Cactus League. The original Cactus League was a loose consortium of teams during the first decade and a half of the 20th Century from Bisbee, Douglas, Clifton, Morenci, Cananea, Fort Huachuca, Tucson and sometimes Naco. Afterwards, the event continues at Naco Elementary where Mike will share a presentation on historic baseball. This event is free to attend, join us!

Over the following decades, African Americans from the Tenth U.S. Cavalry and Twenty-Fourth and Twenty-Fifth Infantry added to the laurels won by the Ninth U.S. Cavalrymen. For more than six decades, Black soldiers served with honor, from campaigns against determined Native Americans to facing dangers along the turbulent border as the Mexican Revolution raged. During the dark days of World War II, they prepared for combat against foes both abroad and at home. All the while, they faced an ever-present, persistent enemy: racism. Author John P.
